Terms and Conditions

All activities conducted at any Le Roma Hotels & Resorts property must strictly comply with local laws and government regulations. The management will not be held responsible for any legal or other consequences resulting from non-compliance on the part of guests or clients.

Event Setup and Property Guidelines:

  • Installation of heavy structures or materials for events is strictly prohibited. Clients must ensure that all installations and setups do not damage the softscape (lawns, gardens) or hardscape (tiles, structures) of the property.
  • All facilities must be used solely for the purpose they are intended for and within designated areas only. Any deviation may result in penalties or cancellation of services.

Swimming Pool Usage:

  • Pools at Le Roma Hotels & Resorts operate during specific hours (typically from 10:00 AM to 7:00 PM). Exact timings may vary by location and will be communicated during check-in.
  • Pools range in depth and may vary across properties. Guests are advised to use the pools only if they are confident swimmers. There are no lifeguards on duty.
  • The management will not be liable for any accidents, injuries, or fatalities resulting from pool usage.
  • Pool clarity may be affected by external, uncontrollable factors. Proper swimming attire is mandatory.

Client Responsibilities During Occupation:

  • Guests are responsible for overseeing the movement of materials, staff, and third-party vendors to prevent theft, misuse, or damage to the property.
  • Any damage, theft, or misuse during the occupation period will be charged to the client before check-out.
  • Clients are responsible for the safety and behavior of all guests and vendors attending their event.

Security and Liability:

  • Le Roma Hotels & Resorts is not responsible for the personal safety, security, or belongings of guests, nor for unauthorized persons (gate crashers) entering the premises.
  • The property and its staff will not be held liable for guests’ personal needs or management of the event once check-in is complete.

Refund and Payment Policy:

  • All bookings are non-refundable. No refund will be provided under any circumstances once payment is made.
  • The full balance payment for the total billing amount must be settled at least 24 hours prior to check-in. Failure to do so will render the booking null and void, with no refund of any advance payments.

Indemnification Clause:

  • All guests indemnify Le Roma Hotels & Resorts and its staff against any incidents, damages, or accidents that may occur during their stay.
  • Use of all facilities is at the guests’ own risk. The client shall bear responsibility for any loss or damage caused to the property by themselves, their guests, or their vendors.
  • Any monetary losses incurred by the property due to the actions of guests or clients will be recovered prior to check-out.

Staff and Service Hours:

  • Services provided by staff will cease at midnight. After this time, guests are expected to manage all requirements independently.

Guest Conduct and Behavior:

  • Guests must conduct themselves in a respectful and lawful manner at all times.
  • Any nuisance or behavior causing disturbance to other guests or neighboring residents may result in eviction without notice.

Property Infrastructure and Liability:

  • Many Le Roma properties include heritage or restored structures with both indoor and outdoor elements. The management will not be held responsible for any incidents, including loss of life, resulting from natural calamities or infrastructural limitations in the surrounding area.

Right to Refuse Service:

  • Management reserves the right to request any guest to vacate their room or the property without prior notice and without providing a reason. Non-compliance may lead to removal of guests’ belongings. The management and staff will not be liable for loss or misplacement of personal valuables.

Check-in/Check-out Policy:

  • Guests must adhere to the designated check-in and check-out times shared at the time of booking confirmation.
  • Any extension of stay requires prior settlement of outstanding dues.
  • Delayed check-out may attract additional charges.
  • A government-issued ID must be presented at check-in.

Fixtures and Equipment:

  • Guests must refrain from using property fixtures and equipment for any unintended purpose.
  • Do not remove or alter any fixtures, equipment, or furnishings.

Noise Restrictions:

  • Playing loud music is not permitted after 10:00 PM to maintain peaceful surroundings. Guests failing to comply may be asked to vacate the premises immediately.

Event Capacity:

  • Properties may limit the number of guests allowed for weddings or large gatherings. For instance, some locations may cap at 500 floating guests. These limits must be adhered to strictly. Violation may lead to cancellation of the event.

Misconduct with Staff:

  • Any misbehavior or misconduct towards staff is strictly prohibited and may lead to legal consequences or immediate eviction.

External Vendors and Kitchens:

  • External caterers must use the designated outdoor kitchen areas, subject to prior approval and payment of a non-refundable usage fee.
  • External decorators may not be allowed. Clients are advised to check in advance.

Refundable Deposit:

  • A refundable security deposit (amount varies by property) is mandatory before check-in. The deposit will be refunded post check-out, subject to no damages being reported.

Cancellation Policy - Government Restrictions or Force Majeure:

  • In case of government-imposed restrictions (e.g., pandemic, war, natural disasters) that prohibit the hosting of weddings/events:A) Guests may postpone their booking.B) Guests may transfer the booking to another individual for a similar event.
  • Venue rental and taxes paid will not be refunded.
  • Only refundable security deposits (if paid) will be refunded.
  • Guests acknowledge that upon making a booking, they accept these terms and cannot claim force majeure for a refund.
  • Change of date is allowed only once for such scenarios. Affected clients will receive a credit note valid for one year from the date such events are allowed again.

Cancellation Policy - Personal Reasons or Emergencies:

  • If the event cannot be conducted due to personal emergencies (e.g., accident, death in family), clients must inform management immediately and request a date change. Proof of such an emergency may be required.
  • For any other personal reasons, intimation must be given at least 120 days before the original booking date.
  • Venue rental and taxes will not be refunded. Only the refundable deposit (if paid) will be returned.
  • A one-time credit note will be issued, valid for one year from the date of notification. This may be used by the client or transferred to another party. New dates are subject to availability.
  • Rescheduled events are subject to revised pricing based on seasonality.

Alcohol Policy:

  • If alcohol is to be served, the client must obtain a one-day liquor license from the Excise Department.
  • A No Objection Certificate (NOC) from the property is required to apply for the license.
  • No alcohol can be served without the required license.
  • If the government prohibits alcohol consumption on the event date, clients must comply without exception.

All communication regarding bookings, cancellations, or changes must be conducted via official email with the respective property management team.

By proceeding with a booking, the client acknowledges and agrees to abide by these detailed terms and conditions applicable across all Le Roma Hotels & Resorts properties.
